Bookings
Scan each guest straight into their booking: a room at a hotel, a vehicle at a car rental. The list comes from your management system, so the data lands on the right booking without picking anything on the other side.
Not every integration has bookings. The list only exists when your integration shares its bookings with DocuGuest. With any other integration, or with none linked, there's no button for it on the home screen: scan with Scan Document and the data reaches your integration as usual, you just don't pick the room first.
The app uses your integration's own words, so a hotel sees Bookings and Room, and a car rental sees Rentals and Vehicle (see Car rentals). The examples below are from a hotel.
The list
- All, Today and Yesterday filter by arrival date. The number on each tab is how many bookings it holds.
- The search box finds a booking by guest name, reference or room number.
- Each room shows guests registered out of guests expected. Grey means nobody is in yet, amber means some are, and green with a tick means the room is complete. Bookings with more than one room also show the total.
- 1 incomplete under a room means a guest is registered but is missing check-in data, for example someone typed in by hand without a document.
- The arrow at the top right reloads the list.
Scan a guest into a room
- Tap the room.
- Scan the document as usual, with the camera or the NFC reader.
- Check the result. The room, the booking and the guests already registered are at the top.
- Tap Send. The app confirms and shows the room's new count.
After sending, the camera opens again for the next guest in the same room. When the room is complete, the app goes back to the list.
Tapping a room that's already complete asks before scanning another guest into it. Expected guest counts aren't always right, so you can carry on.
Car rentals
At a car rental desk the same list holds your Rentals. Each rental shows the customer, the pick-up and return dates and the reference, and each row is a vehicle: plate, model and category. The counter is drivers registered out of drivers expected, so a rental with a second driver reads 1/2 until both licences or IDs are in.
Everything else works as above: tap the vehicle, scan the driver's document and tap Send. The result shows the vehicle and the rental at the top.
